Our client is a leading venture capital fund with over $3B in assets under management, developing the next generation of liquidity tools for shareholders of private companies. They are seeking a highly motivated and detail-oriented Office Manager to support their dynamic team in Santa Monica. What you'll do:

As an Office Manager, your role will be critical in supporting the management team and performing various administrative tasks. You'll be responsible for organising events, coordinating travel arrangements, managing expense reports, tracking contracts during investment closing processes, managing company subscriptions and licenses, assisting with insurance renewals, handling reception duties, planning company events, and more. Your exceptional attention to detail will be key in this role.

  • Organise events for investors, limited partners, and portfolio companies
  • Perform assistant duties for the management team including coordinating travel, submitting payroll, and managing expense reports
  • Coordinate meetings and manage calendar invites for the executive team
  • Track and organise contracts, signatures and wires during closing processes for investments and funds
  • Manage company subscriptions and licenses, providing and removing employee access as needed
  • Assist with annual insurance renewals
  • Manage office supplies and handle reception duties including incoming mail and deliveries
  • Plan company events, including lunch reservations and delivery orders

What you bring:

The ideal candidate for the Office Manager position will bring a BA/BS degree along with at least 2 years of relevant administrative experience. Experience within an investment firm, investment bank, law firm or tech company would be advantageous. You should have strong organisational skills with the ability to multitask and prioritise effectively. Proficiency in Microsoft Office Suite is essential. A proactive approach to problem-solving along with high levels of integrity when dealing with confidential information is expected.

  • BA/BS degree required
  • Minimum 2 years relevant administrative experience reporting to management
  • Experience at an investment firm, investment bank, law firm or tech company is a plus
  • Strong organisational skills with ability to multitask and prioritise effectively
  • Ability to meet tight deadlines and perform well under pressure
  • Proficiency in Microsoft Office Suite
  • Proactive problem solver who can own projects from start to finish
  • High level of integrity and professionalism in management of confidential or sensitive information
