Executive Assistant
global investment firm focused on energy, gas, chemicals, and infrastructure is seeking an Executive Assistant and Office Manager to help launch its new Houston office. This role supports senior executives while managing A office operations, travel, meetings, onboarding, and administration. Key Responsibilities:
As Executive Assistant and Office Manager for the new Houston team, you will play a central role in keeping daily office operations running smoothly from the start. You will support senior executives with scheduling, documentation, meeting coordination, and day-to-day administrative needs. You will also coordinate travel, welcome international visitors, and help create a professional and efficient office environment. As the team grows, you will support onboarding and anticipate operational needs before they arise. Over time, this role may offer the opportunity to take on broader responsibilities in areas such as human resources or office leadership.
- Oversee daily office operations, including facilities, supplies, technology, processes, and support for a growing Houston team.
- Provide executive support through calendar management, meeting coordination, document preparation, and day-to-day administrative assistance.
- Coordinate domestic and international travel, visitor logistics, onboarding, access requirements, and hospitality needs.
- Manage administrative records, expense reports, invoices, filing, compliance tracking, and Microsoft Office-based documentation.
- Serve as the office’s key administrative contact, supporting events, action items, ad hoc requests, and process improvements as the team expands.
Key Requirements:
The ideal candidate will bring strong experience supporting senior professionals in fast-paced investment, energy, or related business environments. They will be confident managing complex logistics, office operations, schedules, meetings, and administrative priorities with minimal supervision. Strong interpersonal skills are essential, along with the ability to work effectively with local colleagues, international visitors, and senior stakeholders. A high level of accuracy, confidentiality, and attention to detail will be important when handling documentation, compliance, and executive support tasks. The successful candidate will be adaptable, proactive, and willing to support a broad range of responsibilities as the Houston office grows.
- Minimum of five years’ executive administrative support experience within investment, energy, or related business environments.
- Strong ability to manage office operations, establish processes, coordinate meetings, prepare documents, and prioritize competing demands.
- Experience coordinating complex domestic and international travel, including logistics, documentation, visas, and last-minute changes.
- Excellent communication, confidentiality, and stakeholder management skills, with professionalism when supporting executives, clients, and visitors.
- Proficiency with Microsoft Office, adaptability to changing priorities, and a proactive willingness to support varied responsibilities.
